A smartphone, a laptop, and a dependable car are three essential tools of the trade for running an efficient real estate business. But I’ve learned that having the right equipment isn’t enough. It’s about knowing how to maximize what you have. The right setup can either slow you down or improve your daily work life, depending on how you use it.
Something to keep in mind when investing in high-end devices, costly apps, and software is not only your budget, but also the time, ability to learn new things, and how often you’ll need or want to replace them. In my experience, I’ve barely learned how to use something when a newer, faster, and smarter version comes along. That’s why I like to keep things basic and simple whenever possible.

Your Phone
Your phone is one of your most valuable business assets—used for prospecting, negotiating, and staying connected. Sync your calendar, emails, and cloud folders to your phone to stay organized and ensure you never miss an important appointment, update, or file.
To separate business from personal time, consider a second line instead of a second phone. It can be less expensive, and you’ll have fewer devices to carry around. Create a short, friendly, and professional greeting, and make sure your voicemail lets clients know when you’ll return their call and which languages you speak. Protect your phone and the information on it. Use a strong password, turn on two-factor authentication, and keep your software updated.
When we’re spending time with a client, they should have our full attention. Whether we’re on the phone, on video, or meeting in person, we should be fully present.
Your Laptop
A lightweight, reliable laptop or tablet allows us to take our work, files, and client presentations with us wherever we go. It can be a great tool for a profession that requires us to be constantly on the move. There are easy ways to improve your laptop’s functionality, like bookmarking your most-visited websites and securely saving your login credentials for faster access.
Apps & Digital Tools
With unlimited apps and services available, it’s easy to clutter your devices with programs you don’t use, services that are costly for what they offer, or those with a steep learning curve. Instead, focus on the ones that truly enhance your workflow. Every 6–12 months, review your apps—update, remove, or replace them as needed. If you’re trying out a new app, give it a free trial, if available, before fully committing.
